Mindful Meetings Rewards - Terms and Conditions

These Terms and Conditions (“Agreement”) govern your participation in the Mindful Meetings Rewards program (“Program”) offered by Mindful Meetings (“Company”). By participating in the Program, you agree to be bound by these Terms and Conditions.
 
1. Program Overview:
The Mindful Meetings Rewards program is designed to reward clients who contract hotel guest rooms through Mindful Meetings. Participants earn a rebate, calculated up to 1% of the commissionable guest room revenue, which can be applied towards future events facilitated by Mindful Meetings.
2. Eligibility:
  • Participation in the Program is subject to approval by Mindful Meetings.
  • The Program is available to clients who contract hotel guest rooms through Mindful Meetings.
  • Eligible contracts must meet minimum revenue thresholds as determined by Mindful Meetings.
  • Employees of Mindful Meetings and its affiliates are not eligible to participate. 
3. Earning Rewards:
  • Participants will earn a reward up to 1% of the commissionable guest room revenue generated by their contracted hotel guest rooms.
  • “Commissionable guest room revenue” is defined as the revenue generated from occupied guest rooms booked at standard, non-discounted rates through Mindful Meetings’ contracted hotel agreements.
  • The following room types and rates are typically excluded from commissionable guest room revenue:
  • Staff rooms
  • Comped rooms
  • Discounted rooms (including but not limited to employee rates, group discounts exceeding a certain percentage, and negotiated rates below a specified threshold)
  • Rooms booked outside of the Mindful Meetings contracted hotel agreement.
  • Mindful Meetings reserves the right to determine which room rates and types are considered commissionable.
  • The reward amount will be calculated after the event has concluded and all final charges have been settled with the contracted hotel.
4. Reward Redemption:
  • Earned rewards can be applied towards the cost of future events facilitated by Mindful Meetings.
  • Reward redemption must be requested within 12 months of the event’s conclusion.
  • Rewards are non-transferable and cannot be redeemed for cash.
  • Redemption of rewards is subject to availability and may be subject to blackout dates or other restrictions as dictated by Mindful Meetings or the hotel contracted.
5. Program Changes and Termination:
  • Mindful Meetings reserves the right to modify, suspend, or terminate the Program at any time, with or without notice.
  • Mindful Meetings reserves the right to change these Terms and Conditions at any time. Updated Terms and Conditions will be posted on Mindful Meetings Website.
  • Mindful Meetings reserves the right to disqualify any participant from the Program for any reason, including but not limited to fraud, abuse, or violation of these Terms and Conditions.
  • In case of program termination, earned rewards will be honored for a period of 12 months after the termination date. 
6. Limitation of Liability:
  • Mindful Meetings shall not be liable for any direct, indirect, incidental, consequential, or punitive damages arising from participation in the Program. 
7. Governing Law:
  • This Agreement shall be governed by and construed in accordance with the laws of Ohio.
8. Entire Agreement:
  • These Terms and Conditions constitute the entire agreement between the participant and Mindful Meetings with respect to the Program and supersede all prior or contemporaneous communications and proposals, whether oral or written.
